We fully respect your right to privacy in relation to your interactions with DUT and endeavour to guarantee transparency in our dealings with you as to what information we will collect and how we will use your information.

This policy set out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Data collection and use

The DUT Partnership collects personal information to deliver the services requested based on the DUT Partnership’s legitimate interest in keeping you updated about relevant activities. The DUT Partnership strives to limit the amount of personal information collected.

Website

DUT uses cookies on its website. Once you open our website, you will be informed on the use of these cookies and have the possibility to accept all the cookies or reject all the non-strictly necessary cookies. Please note that the cookies are only set after we received your express consent.

On this website we use cookies and similar functions to process end device information and personal data (e.g. such as IP-addresses or browser information). The processing is used for purposes such as to integrate content, external services and elements from third parties, statistical analysis/measurement, and the integration of social media. This consent is voluntary, not required for the use of our website and can be revoked at any time.

This website uses Google Analytics to analyse traffic and help us to improve your user experience. 

Newsletters 

DUT spreads newsletters via Mailchimp and uses mailing lists to communicate on its activities. If you wish to receive our news and be part of our mailing list, please subscribe on our website. You will then be asked to provide your email address, your first and last name.

Consent will be the legal basis used to process your personal data. At any time, you will have the possibility to withdraw your consent by clicking the "unsubscribe" link in the footer of any email we send, or by contacting us directly at info@dutpartnership.eu

Events

DUT organises remote (e.g. webinars) or in person (e.g. conferences, workshop, etc.) events. For these events, DUT will collect and process personal data in order to ensure the good preparation, organisation, run and follow-up of our meetings. For this purpose, for the time being the event management tool, Ungapped, is used.

If you submit personal data to register for an event this data will be treated as confidential and will only be shared with our partners involved in the organisation and for the sole purpose of this event. The following personal data can be collected in the context of events: first and last name, email address, organisation name, job title, type of organisation, country, town, if you have already participated in any DUT event before.

During events, pictures may be taken to promote and communicate on the DUT activities. These pictures may be published on our website and shared through or newsletters and social media channels. If you do not wish to appear on images, please inform the event organisers prior to the event. The event organisers will inform the communication team of your wishes. 

Consultations and surveys

From time to time DUT conducts consultations and surveys to improve the services and activities we provide towards researchers and stakeholders, improve our communication tools, consult academic and non-academic stakeholders on our strategy, priorities and activities, better understand the needs of academic and non-academic stakeholders, etc.

If you submit personal data to us when participating to one of our consultations or surveys, this data will be treated as confidential and will only be shared with our partners involved in the organisation of the consultation or survey and for the sole purpose of the consultation or survey.

How long we keep your personal data

We will not retain your personal information for longer than required. We will keep your personal information:

  • For as long as required by law
  • Until we no longer have a valid reason for keeping it
  • Until you request us to stop using it. Any such requests can be sent to our data protection officer at info@dutpartnership.eu, with reference to "Data Protection Officer".

In addition, all our mailings contain an unsubscribe button. If you unsubscribe, your personal data will be deleted permanently. Details of how to unsubscribe are provided in each newsletter.

How we protect your data

At DUT we implement technical and organisational measures to secure your personal data against hacking, malware, ransomware, malicious websites, etc. Our server environment fulfils all modern security requirements for protecting your personal data. This includes software and systems to prevent hacking and to fight malware, ransomware or any other intrusion from potentially malicious websites. All our data is stored on a dedicated and secure server environment.

Who we share data with

We will not share your information with organisations outside of the DUT Partnership. We may use a third-party service provider to send out our newsletter and administer our mailing list, to help us run the website or services available on the website. Any third parties who access your data in the course of providing services on our behalf are subject to strict contractual restrictions to ensure that your data is protected, in compliance with General Data Protection Regulation.

Your rights

You have the right to ask us to amend, not to process, or to delete your personal data. Furthermore, you have the right to ask us to transfer your data to a third party. You can exercise your rights by checking certain boxes on the forms we use to collect your data or by contacting us at info@dutpartnership.eu.
